What never goes into AI

Pick your kind of business. The categories follow the data-safety review in every assessment.

Never goes in: Social Security numbers, EINs, full returns, bank and card statements, and any login. These stay in your tax software and your encrypted file share.
Fine, with the right settings: Client financial reports, P&L and balance sheets, payroll totals, and names tied to amounts, inside a business-tier account with training turned off.
The rule you work under: The FTC Safeguards Rule and the IRS written information security plan (Publication 4557).
The first thing I change: Two-step verification on every account, with no exceptions.

Bookkeeping. Never: Bank and card credentials, full account numbers, and client statements. Nothing that would let someone move money. With settings: Monthly summaries, reconciliation notes, and client reports, inside Gemini for Workspace or a paid ChatGPT or Claude business account with training off. Rule: Your engagement letters, and the FTC Safeguards Rule if you also prepare returns.

Therapy or medical practice. Never: Anything that ties a patient to their care: names with diagnoses, session notes, appointment reasons, insurance details. Not without a signed business associate agreement. With settings: Your own templates, intake forms with no patient data, reminders and policies, de-identified summaries, in a tool your BAA covers. Rule: HIPAA. A free AI account is never covered by it.

Food service or retail. Never: Card numbers, employee Social Security numbers and payroll files, and the passwords to your point of sale. With settings: Supplier pricing, sales history, schedules, and menu and marketing drafts, in a business account with training off. Rule: PCI rules for card data and your state's wage and employee-record privacy laws.

Will AI leak my business or client data? Not if it's set up correctly, and that's my specialty. I configure your AI tools with the right privacy settings, business-tier accounts and access controls from day one, and I tell you plainly which information should never go into an AI tool.

Which AI tools do you work with? ChatGPT, Claude, Gemini and Microsoft Copilot, plus the automation tools that connect them to the apps you already use. I recommend what fits your work and budget, not what's trendy.

What happens in the $99 AI Assessment? An async review over two to three days. I look at how you actually run your business and the tools you already use, rank where AI will save you the most time and money, and hand you a written action plan you keep. The free sample report shows the exact format.

Should I start with the Assessment or the Setup Session? Start with the Assessment if you'd rather see the full picture before spending a dollar on tools. Go straight to the Setup Session if you already know where AI fits: in 90 minutes we pick the assistant, set it up around your workflow and build the prompts you keep.

How does the five-hours-a-week guarantee work? If we don't find you at least five hours a week of time savings, you don't pay. We map your weekly tasks together and estimate the time saved on each one, so the number comes from your real week.

Do I need to be tech-savvy? No. I handle the setup and explain everything in plain language. If you can send an email, you can use what we build.
